Position Description
Performs clerical duties of a specialized or technical nature, which may be performed in a variety of settings. Responsibilities may include basic bookkeeping, typing, word processing, filing, sorting, posting, verifying, recording, and data coding and processing of moderate complexity. A general understanding of organizational policies and procedures and some expertise in the area of assigned work is required. Duties are performed under direction within established policies and procedures with job performance based upon completion of assigned tasks.

Major/Essential Functions
  • Responsible for responding to medical and/or billing requests questions of the outsourced vendor within the proper time frame. (note: The copies of medical records shall be furnished to the requester within 15 business days after the date of receipt of the request and reasonable fees for furnishing the information.)
  • Knowledge of scanner through the scanner properties and how it relates to batch manager.
  • Responsible for being an effective part of the loose medical record filing system, including: a) placing loose work in the appropriate location in the electronic records system b) Returning records to archive c) importing documents from share drive to the electronic chart.
  • Perform QA on charts in the Docunav system.
  • Responsible for picking up loose work twice daily at 10:00am and 3:00pm daily for all Texas Tech Physicians of Lubbock Clinic locations.

Pay Statement
Compensation is commensurate upon the qualifications of the individual selected and budgetary guidelines of the hiring department, as well as, the institutional pay plan. For additional information, please reference the institutional pay plan on the Human Resources webpage.

Occasional Duties
  • Has knowledge of the Patient Services folder within the Centricity application. Able to lookup medical record numbers using Patient Services folder. Able to navigate Patient Services folder and distinguish which MR number to use when multiple numbers from various TTUHSC locations are available such Lubbock, Amarillo, Odessa, and El Paso, for example. (‘W’, ‘A’, ‘D’, ‘E’). Able to navigate Appointments folder within Centricity. Can determine if patient has been seen previously or has pending appointments. Can and willing to problem solve using these tools with Centricity.
  • Employee has working knowledge on how to copy and /or print information needed to release information which includes a) using a copy machine b) using a printer.

Required Qualifications
Proficiency in written and mathematical processes as may be reflected by the completion of high school or the equivalent. One year clerical experience. Additional education and/or related experience to equal one year may substitute on a year for year basis.
