Serves as the principal clerical and administrative support position to an administrative officer. This title is restricted for use in the office of a Dean, Associate Vice Chancellor/Associate Vice President, Vice Provost, or an administrative officer reporting directly to the Chancellor/President. Performs responsible and complex administrative support or technical program assistance work. Work is performed under general supervision from the administrator. Direct supervision of subordinate personnel may be included in the job responsibilities.
Coordinates, priorities, and schedules routine and emergency appointments.
Prepares travel documents, amends travel requirements while traveler is traveling and completes travel vouchers upon return. Occasionally coordinates travel arrangements for directors and supervisors.
Assures Director and other staff have necessary information for meetings, conferences, and other activities.
Answers phones, processes incoming and outgoing correspondence and tracks status of all correspondence. Draft, proof, edit correspondence, speeches, independently for readability, grammar, punctuation, spelling, and replies to correspondence, as assigned.
Prepares agenda, gathers documents and information, and prepares minutes for meetings, as requested. Assures Director has necessary information for meetings, conferences, and other activities.
Completes special assignments with latitude to exercise independent judgment. Assists with planning and implementation, as required.
Maintains accurate and timely filing system including shredding items and digitally scanning.
Makes arrangements for official guests and receives visitors, as required.
Places work orders and housekeeping calls and coordinates calls, repairs, and coordinates calls, repairs, and cleaning as needed for work spaces, office equipment and technology services.
Assist with department business staff with purchasing and other items, as needed. Completes procurement card transactions, POs, and other financial documents, as required.
Bachelor's degree in clerical/administrative area. Two years progressively responsible administrative or related experience, including one-year supervisory experience. Additional job related experience may substitute for required education on a year-for-year basis.
Thorough knowledge of modern office practices and procedures.
Skillful command of the English language, grammar and spelling.
Thorough knowledge of modern office equipment, filing systems and procedures.
Ability to plan, organize and control the work of multifaceted office.
Ability to keep or to supervise the keeping of complex records; to assemble and organize data of a complex nature, and to prepare and submit requires reports from such records.
Ability to establish and maintain excellent working relationships and effectively deal with students, faculty, staff, associates, superiors, subordinates and officials outside of the university; effectively deal with potential public relations problems courteously and tactfully.
Experience to provide administrative support including preparing, maintaining, and managing a complex calendar and appointments, preparing travel vouchers and strong computer skills.
Proficiency in written and mathematical processes that may be reflected by completion of high school or the equivalent.
Four years progressively responsible clerical experience including one year supervisory experience.
Additional education and/or related experience to equal four years may substitute on a year for year basis.
Proficiency in Microsoft office applications (Word, Excel, PowerPoint, Access).
Suitable experience with office equipment commensurate with level of this position.
