Position Description
Serves as the principal clerical and administrative support position to an administrative officer. This title is restricted for use in the office of a Dean, Associate Vice Chancellor/Associate Vice President, Vice Provost, or an administrative officer reporting directly to the Chancellor/President. Performs responsible and complex administrative support or technical program assistance work. Work is performed under general supervision from the administrator. Direct supervision of subordinate personnel may be included in the job responsibilities.

Major/Essential Functions
Organize and coordinate meetings and special events. Create agendas, take minutes and distribute handouts as appropriate. Ensure adequate room is available and food/drinks are provided, if necessary.

Support the Service Plus philosophy of Texas Tech Physician.  
Maintain office personnel records as required. Create and/or edit ePafs, post employment positions, create

EOPS as deemed necessary. Ensure all employees meet education and safety training requirements.
Research, create, prepare and distribute reports, presentations, etc.
Schedule all travel for employees, guests and prospective employees; enter costs in Travel System by required deadline.
Prepare forms, letters, memos, emails and all other types of correspondence as requested. Manage incoming and outgoing mail.
Maintain office filing and log books. Keep track of contracts and distribute copies as appropriate.
Track and reconcile PCard and Travel cards; enter in system accordingly and process by deadline.
Maintain office inventory and purchase supplies, as needed.

Maintain Executive Associate Dean's calendar and contacts. Ensure all handouts are given to the Executive Associate Dean prior to meeting.

Create and maintain presentations for SOM Administration TV.

Answer phones in a timely and courteous manner; direct to appropriate person. Meet and greet visitors to the HSC, including directing them to the correct location. 

Assist the Executive Associate Dean in organizing workflow, maintaining list of priorities through independent work in defined areas.

Preferred Qualifications
Familiar with Office Word, Excel, PowerPoint and Movie Maker; familiar with Adobe Acrobat Pro and PhotoShop; typing skills of at least 60 wpm, 1200 ksph. Knowledge of basic office equipment (scanner, copier, fax, and phone).

Required Qualifications
Bachelor's degree in clerical/administrative area. Two years progressively responsible administrative or related experience, including one-year supervisory experience. Additional job related experience may substitute for required education on a year-for-year basis.
