Position Description
Serves as the principal clerical and administrative support position to an administrative officer. This title is restricted for use in the office of a Dean, Associate Vice Chancellor/Associate Vice President, Vice Provost, or an administrative officer reporting directly to the Chancellor/President. Performs responsible and complex administrative support or technical program assistance work. Work is performed under general supervision from the administrator. Direct supervision of subordinate personnel may be included in the job responsibilities.

Major/Essential Functions

Supports the Values Based Culture of Texas Tech University Health Science Center.

Adheres to institutional and departmental safety policies and procedures.

Prepares documents for Director’s signature.

Directs all incoming calls.

Maintains appointments to multiple electronic calendars.

Files all documents and correspondence.

Creates, maintains and updates contract paperwork and binders.

Transcribes minutes for Library Committee Meetings.

Logs and tracks travel online for all library personnel and processes travel applications.

Responsible for all bookings for use of Rare Books Conference Room.

Orders supplies online.

Back up for depositing all monies collected in Library.

Maintain all personnel records and update OP’s.

Manages departmental contract paperwork, processing, and all associated departmental invoicing, records, receipts of deposits.

Enters all ePAF’s and other human resources processes for current and terminating employees; including EOPS (Employee One-time Pay System), assistance with FMLA forms, etc.

Familiarity with Computer Daily as they are revised and relate to departmental H.R.

Onboards new employees utilizing the Brassring system.

Processes new employees including: ePAF’s, initiating forms, employee lists, etc.

Maintains employee database and departmental lists.

Processes payroll forms, leave-time, and overtime reports.

Assists in the coordination of conferences, workshops, and other departmental functions.

Purchases items using the Purchasing Card.

Reconciles purchasing card expenses for self and Executive Director, and professional development fund expenses.

Performs other related duties as required.

Pay Statement
Compensation is commensurate upon the qualifications of the individual selected and budgetary guidelines of the hiring department, as well as, the institutional pay plan. For additional information, please reference the institutional pay plan on the Human Resources webpage.

Required Qualifications
Bachelor's degree in clerical/administrative area. Two years progressively responsible administrative or related experience, including one-year supervisory experience. Additional job related experience may substitute for required education on a year-for-year basis.
