Position Description
Directs and supervises Patient Services staff in the processing of patients. Supervises scheduling of appointments, patient visits, the receiving of patients, and the maintenance of records; supervises processing of charges for clinic services, filing of insurance claims, responses to requests for information from patients and insurance companies and the maintenance of related information for the department. Evaluates and trains new employees. Most work is performed according to established procedures; problems of an unusual nature are referred to supervisor. Employees in this classification supervise Patient Services Trainees, Patient Services Specialists, or Senior Patient Services Specialists. Typing, ability to interact effectively with others, ability to work in a busy environment; knowledge of business office procedures; familiarity with computer system. Ability to communicate effectively with internal employees as well as patients. Work is performed in usual clinic conditions. Employees typically have cash handling responsibilities.

Major/Essential Functions
Area of assignment is within a very busy Pediatric clinic with multiple outpatient providers including general pediatrics and the sub-specialties of endocrinology, hematology and oncology, cardiology, surgery, nephrology, behavioral and development, neurology, and sports medicine.  Directly supervises a team of 11 front desk and phone room staff and will assist with management of staff members placed at any future satellite clinic locations.  Directly responsible for all front office and phone room day to day activities including the handling of patient and subordinate concerns and complaints with escalation to the immediate supervisor when necessary.  Responsible for maintaining a positive working environment with customer service and patient satisfaction being a priority.  Delegates and assigns workloads for each of the subordinate staff and changes workloads as necessary. Ensures clinic schedule is built and accurately maintained and updated to ensure providers with scheduled absences have clinic times closed and patients moved. Handles any subordinate disciplinary issues through the institutional disciplinary process and keeps department leadership involved.  Maintains a close working relationship with the Head Nurse, Assistant Head Nurse, Clinic Manager, Department Administrator, Physician Clinic Director, and Clinic Physician Chair.  Candidate must be adaptable to change and willing to be flexible in an environment that occasionally requires decision making skills with little preparation time.  Serves as primary gatherer and disseminator of information regarding changes in front office operations including the registering of patients and collection of insurance payments and keeps subordinate staff up to date with the latest requirements.  Serves as a team player and is willing to step into any role that is vacant to ensure that role’s duties are performed when an employee is out.  Maintains a positive and approachable relationship with all coworkers and subordinates.  This position is also responsible for learning and maintaining the building of multiple clinic schedules utilizing the QGenda scheduling software.

Clinic experience in a group practice setting with multiple subordinate staff.  Being bilingual in Spanish is not a requirement but should be noted in application if applicable

Pay Statement

Occasional Duties
Assists Department Administration by providing feedback from the "front line" in guiding decisions made that impact the operations of the outpatient clinic.  Attends weekly clinic operations meeting to apprise those in attendance of issues of concern or areas needing looked into.  May be required to provide coverage in any position vacated by subordinate staff until vacancy is filled with return of employee or the hire of another employee. May handle cash in duties of job and will be required to pass a credit check as part of employment.

Required Qualifications
+Education:+ * A minimum of a high school diploma or equivalent.
+Experience:+ * A minimum of five (5) years of general office experience. * A minimum of two (2) years of supervisory experience in a clinic or physician's office. 
* At least three (3) years of experience at TTUHSC in the Patient Services Program, one (1) year of supervisory experience, documented completion of all relevant IDX training and a current performance appraisal with a rating of meeting or exceeding expectations.
