This position is responsible for assuring smooth operation of the clinic patient flow and serves as the primary contact for patients. Responsible for scheduling appointments, preparing necessary paperwork before the patient visits, receiving patients, and maintaining records. In addition, this position is responsible for processing charges for clinic services, filing insurance claims, responding to requests for information from patients and insurance companies and maintaining related information for the department. Employees in this classification receive general supervision. Most work is performed according to established procedures; problems of an unusual nature are referred to supervisor. Ability to communicate effectively internally and externally. Ability to understand and follow instructions. Work is performed in usual clinic conditions and requires a high degree of contact with patients, HSC staff, and insurance companies. Employees have cash handling responsibilities.
Providing excellent customer service to anyone that calls or walks into the clinic; Collects payments as patients arrive for their appointments and close and prepare daily deposit by closing out batches; Answering incoming phone calls and resolve inquires or transfer to appropriate person as needed; Document phone messages; Schedule or reschedule appointments as requested by patients or nurses; Responds to phone inquiries and clinic inquiries as needed; Screen patient phone calls, update patient information, including but not limited to demographics, insurance, etc and checks patient balances; Requests patient payments; Check patients in and out for their appointments; Verification of insurance benefits, obtain insurance referrals, and prior authorizations; Disseminates essential paperwork to staff and clinic personnel: Cross train in all clerical position to ensure essential coverage for clinic; Register new patients by completing patient demographics, as well as, entering required insurance information into GE Centricity; Work on bump lists.
Other duties as assigned by supervisors.
Education: A minimum of a high school diploma or equivalent.
Experience: At least three years of general office experience with at least one year of general office experience in a clinic or physician's office. OR
At least 90 days service at TTUHSC as a Patient Services Trainee, documented completion of all relevant IDX training and a recent performance appraisal on file with a rating of meeting or exceeding expectations.
Demonstrate competencies to deliver the highest quality of patient care; Positive interpersonal skills with coworkers and customers; Bilingual helpful but not required; Must have good verbal and written communication skills; Independent judgment and ability to coordinate / resolve issues to ensure positive results for customers and staff.
