Plans and directs the overall operation of a major department (with institutional oversight) and provides leadership for staff members. Meets ORP eligibility requirements. Under executive direction, performs highly varied administrative duties involving the use of independent judgment and professional skills. Responsible for all employees assigned to area.
Manages daily administrative operations of a clinical practice, including establishing work priorities; resolves problems related to the day-to-day operations of the unit. Participates as a team member with the leadership of the departments of Internal Medicine and Surgery and the division of Cardiology and Vascular Surgery. Works effectively with the leadership of the School of Medicine, University Medical Center and other potential hospital and clinic stakeholders.
Human Resources: Effectively performs human resources tasks including, but not limited to hiring, coaching, evaluating, and disciplining staff as appropriate.
Clinic Operations: Manages and evaluates operation of assigned clinic, and/ or clinics including but not limited to: patient access, patient satisfaction (including efficient operation of the telephone system, patient registration, patient accounting, providing feedback to providers), and appropriate staffing.
Marketing/Outreach/Business Development:Conducts outreach/business development on behalf of the Center for Cardiovascular Health and all Internal Medicine divisions. Continually evaluates existing services and identifies new program opportunities or enhancements.
Quality/Patient Safety: Quantifies clinic efficiency and effectiveness through bench-marking and continuous quality improvement. Works and communicates with EHR department to ensure dissemination of necessary and useful information.
Financial: Ensures cost-effective, efficient operations; Assist in developing and managing annual operating budget; Provides oversight and direction of clinic registration, managed care, and point of service collections and communicates regularly with departmental billing and coding to ensure optimal revenue cycle management; Assures proper vendor selection and acquisition and payment of supplies and services.
Communicates professionally and effectively with Division Chief and Senior Clinical Department Administrator regarding patient, staff and physician issues, and clinic needs. Communicates pertinent information to staff during regularly scheduled meetings; leads and participates in required meetings.
Assists in developing effective strategic, business and marketing plans, along with action steps and implementation dates.
Develops and manages any pertinent and necessary operating policies and procedures for the assigned clinical area, with approval from the Division Chief, leadership of the departments of Internal Medicine and Surgery, and CCVH Executive Committee.
Prepares monthly clinic operation reports as directed by leadership. Provides report analysis for referral patterns, physician availability/capacity, appointment waiting periods, patient satisfaction, call center performance, quality metrics and appointment statistical data.
Provides leadership and direction to strategic initiatives of the Department of Internal Medicine and the CCVH such as heart failure, electrophysiology. and minimally invasive aortic valve replacement and when asked and applicable, to those of University Medical Center and other potential hospital or clinic stakeholders.
Bachelor's degree required; master's preferred. Seven years progressively responsible management experience required. Education beyond bachelor's level may substitute for required experience on a year-for-year basis.
Master's Degree in Business Administration, Hospital Administration, Health Care Management, or related field. Experience managing a health services operation Minimum 5 years supervisory experience Understanding of vital role of senior management in support of the mission, vision, KPIs of the CCVH and has a proven track record of doing so in a similar structure. Ability to manage complex organization with competing interests; including setting priorities and conflict resolution Proven knowledge and track record of project management, process improvement, and team-oriented management. Highly detailed, excellent organizational and customer service skills Strong written and verbal communication skills Ability to establish goals and objectives within a business strategy and devise a plan to accomplish the goals and objectives and implement all facets of marketing activities. Ability to devise solutions to problems encountered in carrying out assigned job responsibilities. Self-motivated individual, capable of working with minimal supervision and direction; excellent organizational and interpersonal skills; strong creative ability; ability to adjust to change; ability to work collaboratively with colleagues, physicians and practice personnel. Ability to work efficiently in an environment of change; ability to make adjustments to accommodate changing situations and respond resourcefully to new demands or circumstances to achieve results. Ability to use computer to conduct research. Computer skills in software such as Word, Excel, Outlook, GE Centricity, Cerner Power Chart, Etc.
