Work is performed under usual office conditions, requires high degree of telephone and personal contact with HSC faculty, staff and outside professionals.
Screens and directs phone calls a using pleasant telephone voice; treats all callers with courtesy and respect; taking detailed messages as needed.
Performs specialized clerical and secretarial duties in support of CBB faculty and staff.  Employees in this position are responsible for performing varied and complex office duties, which require thorough knowledge of departmental and institutional policies and procedures as well as medical and scientific terminology.
Prepares/supervises preparation of purchase orders ensuring adherence to state and federal guidelines. Trains personnel in purchasing policies and procedures. Assists faculty in researching and typing of specifications for purchase of laboratory equipment and supplies. Verifies packing slips, receiving reports, and authorizes payment of invoices. Resolves shipping and payment problems with vendors (e.g. shortages, duplications, wrong products ordered or shipped, over billing).
Processes travel applications and reimbursement vouchers for faculty and staff, obtaining foreign travel approval as needed. Informs traveling staff/faculty of receipts and documentation requirements for allowable reimbursements.
Coordinates meetings, seminars and other departmental activities. Tasks include scheduling, arranging for space or facilities, refreshments, and developing itineraries for visiting speakers to meet with faculty, students and administration.
Acts as the "Departmental Work Coordinator" (HSC OP 61.09). The Departmental Work Coordinator is the departments’ point of contact for Plant Operations/Facilities Operations and Maintenance in TTUHSC facilities; is responsible for reporting maintenance issues and providing the needed information; keeping department faculty/staff informed of work status; and maintain a record of all work requests submitted.
Maintains office supplies by checking stock to determine inventory levels; anticipating needs; placing and expediting orders; verifying receipt; stocking items; delivering supplies to requesting staff/faculty.
Maintains departmental shared printers, fax machines and copiers, ordering supplies as needed.
This employee is responsible for accepting and distributing, with the department, packages delivered by Shipping and Receiving. Packages will be logged; identifying first packages which must be kept refrigerated or frozen (COLD) within 10 minutes; contact recipient labs for package pick-up and informing them if any of the packages are COLD.

Preferred Qualifications
Familiarity with federal, state regulations and institutional policies regarding purchasing, accounts payable and receivables.

Ability to work with a variety of professionals; strong organizational skills; ability to work independently; ability to make sound decisions and work effectively under stressful situations; computer knowledge with expertise in word processing, spreadsheets, database applications. Needs excellent communication skills and skillful command of the English language, grammar and spelling - oral and written. Must have the ability to work through complex logistical and procedural issues and display excellent problem solving skills.

Pay Statement
Compensation is commensurate upon the qualifications of the individual selected and budgetary guidelines of the hiring department, as well as, the institutional pay plan. For additional information, please reference the institutional pay plan on the Human Resources webpage.

Required Qualifications
High school plus six years experience in related field. Additional education may substitute for experience on a year for year basis.
