Position Description
Performs coordinative work in the business or administrative operation of a specific department or college. Responsibilities involve the coordination and supervision of the various functions and aspects of a department as well as the monitoring operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise staff or student assistants.

Major/Essential Functions
Maintain departmental systems and processes to facilitate project management and optimize maintenance & operational activities related to the FO&M department office. Provide coordination of special assignments and projects associated with the campus, including providing notification to campus community. Assist and lead with the preparation, organizing, maintaining and filing of regulatory and departmental documentation & reports. Perform and serve as backup for a variety of services including locksmith shop, TMA system, odd-hour coordination, procurement, parking and administrative support. Development, monitoring and improvement of preventative & predictive programs. Maintain departmental training program including utilization of internal resources and working with vendors & specialty contractors.

Preferred Qualifications
Knowledge of maintenance & operations of similar scope specifically experience in handling & managing associated financial & technical information and other related departmental assignments, e.g. project management coordination. Ability to assist with the development and implementation of new initiatives, contracts and processes necessary to meet departmental & institutional goals & objectives and assess & optimize operations. Must have good communication, organizational, written, and analytical skills, and be a self-starter. Must demonstrate accuracy and initiative in assigned job duties. Must have strong computer skills (word processing, spreadsheet, and database). Computer literacy in software programs to include Windows XP, Microsoft Office Suite applications (Word, Excel, Access, Outlook, and PowerPoint). Proficient in the use of office equipment to include copy and fax machines, typewriters, and other related items. Must have a working knowledge of accounting & financial procedures in an office setting. Must exhibit the ability to multitask and prioritize work assignments. Develop and maintain comprehensive training program for facility personnel. Bachelor’s degree in business, technical discipline or related field preferred, but not required. Training and/or education can be substituted for actual work experience. Minimum of two years experience in general office administration of similar scope & complexity, working knowledge of state purchasing procedures and regulations, and experience in preparing and assisting in preparation of documents directly related to facility assignments, e.g. projects coordination.
