Position Description
Performs coordinative work in the business or administrative operation of a specific department or college. Responsibilities involve the coordination and supervision of the various functions and aspects of a department as well as the monitoring operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise staff or student assistants.

Major/Essential Functions
  • Answer phones, take messages and transfer calls; open and distribute mail.

  • Provide support, guidance to faculty, staff, and students.

  • Assist with coordination of the program calendar and assist in the organization of program meetings and preparation of agenda/minutes.

  • Maintain academic and administrative program files, including data located on electronic systems such as E-Value, Sharepoint, DPT Share Drive, Box, etc.

  • Manage program account for Odessa campus, including financial reports, procurement reports, purchase orders, direct pay, deposits, and Pcard expenditures.

  • Process online travel applications and vouchers for faculty members, prospective employees, and visitors.

  • Coordinate and oversee the Odessa campus efforts toward administrative tasks with a focus on unity, clarity, and accuracy.

  • Maintain the ability to work well with faculty, staff and students, and the ability to multitask effectively.

  • Other tasks as assigned by the Program Director or designee.

  • Assist faculty with: course preparation, course evaluations; licensure and membership renewals; and tenure and promotion processes

  • Assist with accreditation process for program.

  • Coordinate and assist with the orientation, registration process as well as student events for the program.

  • Coordinate the orientation and training of new employees (faculty/staff/GA/TA, etc.)

  • Prepare financial, compliance, and outcome reports for the assistant program director in Odessa.

  • Track student enrollment and related tuition payments each semester.

  • Assist with the admissions process including the management and use of PTCAS.

  • Track and maintain property inventory for program on the Odessa campus.

  • Coordinate the scheduling and assist with program outcomes and reporting, including but not limited to E-Value program outcomes management.

  • Coordinate the scheduling of and assist with the semester planning process including development, management, and updates.

Required Qualifications
