Position Description
Performs routine administrative support or technical program assistance work. Works under moderate supervision with limited latitude for the use of initiative and independent judgment.

Major/Essential Functions
Serves as the administrative support and clerical expertise for a stand-alone program under the overall direction of
the F. Marie Hall Institute for Rural and Community Health.
  • Coordinates, prioritizes, and schedules routine and emergency appointments.
  • Prepares travel applications and vouchers; maintains a spreadsheet log of travel expenses, reimbursements, etc.
  • Assures Director and other staff have necessary information for meetings, conferences, and other activities.
  • Answers phones.
  • Processes incoming and outgoing correspondence and tracks status of all correspondence.  Draft, proof, edit correspondence, speeches, independently for readability, grammar, punctuation, and spelling, replies to correspondence, as assigned.
  • Prepares agenda, gathers documents and information, and prepares minutes for Director's, meetings as requested. Assures Director has necessary information for meetings, conferences, and other activities.
  • Completes special assignments with latitude to exercise independent judgment.  Assists with planning and implementation, as required.
  • Maintains accurate and timely filing system including shredding items and digitally scanning.
  • Maintains confidentiality of sensitive information.
  • Makes arrangements for official guests and receives visitors, as required.
  • Places work orders and housekeeping calls and coordinates calls, repairs, and coordinates calls, repairs, and cleaning as needed for work spaces, office equipment, and technology services.
  • Assist with department business staff with purchasing and other items, as needed.  Completes procurement card transactions, POs, and other financial documents, as required.

Preferred Qualifications
  • Thorough knowledge of modern office practices and procedures. 
  • Skillful command of the English language, grammar and spelling.  
  • Thorough knowledge of modern office equipment, filing systems and procedures.  
  • Ability to plan, organize and control the work of a multifaceted office.  
  • Ability to keep or to supervise the keeping of complex records; to assemble and organize data of a complex nature; and to prepare and submit required reports from such records.  
  • Ability to establish and maintain excellent working relationships and effectively deal with students, faculty, staff, associates, superiors, subordinates, and officials outside the university; effectively deal with potential public relations problems courteously, and tactfully.
  • Experience to provide executive administrative support including preparing, maintaining, and managing a complex calendar and appointments, preparing travel vouchers, and strong computer skills.
  • Proficiency in written and mathematical processes that may be reflected by the completion of high school or the equivalent. 
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Access).
  • Suitable experience with office equipment commensurate with the level of this position.
